A Grievance Invitation Letter formally convenes a grievance hearing after an employee has raised a workplace complaint. Paragraph 32 of the Acas Code of Practice on Disciplinary and Grievance Procedures (SI 2015/649) requires the employer to act without unreasonable delay, confirm the date and time of the hearing, and notify the employee of the right to be accompanied. The letter must be neutral — it invites the employee to be heard, and must not pre-judge the outcome.
When an employee submits a formal written grievance. The letter should be sent promptly after receipt of the grievance — the Acas Code requires action without unreasonable delay, and 5 working days is a reasonable and widely-used standard. It is needed even where the employer considers the grievance unfounded; the process must be followed before any decision is made.
Acknowledgement of the grievance with an accurate description using the employee's own framing (no minimising or recharacterising); the date, time and location of the hearing; the manager chairing the meeting; the statutory right to be accompanied by a trade union representative or fellow worker under Employment Relations Act 1999 s.10; a note where investigation may be needed before a conclusion is reached; a confidentiality confirmation; and contact details for the employee to confirm attendance or request adjustments.
